A parent or legal guardian should submit information concerning a child on the child's behalf.

When you provide information, photographs, audio, video, stories, artwork, or other materials concerning a child, you represent that:

Purchasing a product does not automatically give My Hero Books permission to publicly advertise or promote a child's identity, photograph, likeness, voice, or personal information.

Separate authorization may be required for public promotional uses.

  • Other information specifically authorized by the parent or legal guardian

Participation in the Young Hero Program does not automatically authorize every type of public use.

My Hero Books will use personally identifying information about a Young Hero publicly only within the scope of permissions provided by the parent or legal guardian or as otherwise permitted by applicable law.

5. DIGITAL LIBRARY AND PUBLICATION PERMISSION

Eligible Young Heroes may have the opportunity to have approved books included in the My Hero Books Digital Library or other My Hero Books publishing and distribution programs.

Participation in the Digital Library is separate from simply purchasing a personalized book.

Creating or purchasing a book does not automatically authorize My Hero Books to publicly publish, promote, or distribute personally identifying information about a child.

When appropriate, My Hero Books may request separate parent or legal guardian authorization before making an identifiable child's book, photograph, voice, biography, or other personal information publicly available.

Parents and legal guardians should carefully review the applicable Young Hero Program, publication, Digital Library, and promotional permissions before providing authorization.

6. HOW WE USE INFORMATION

We may use personal information to:

  • Create and manage customer accounts

  • Process purchases

  • Process payments

  • Manage subscriptions

  • Confirm and fulfill orders

  • Create personalized books and related products

  • Create illustrations based on customer-provided photographs or descriptions

  • Produce printed books

  • Produce digital books

  • Produce audiobooks

  • Produce animated or interactive products

  • Create certificates or other ordered materials

  • Communicate regarding orders

  • Provide digital proofs

  • Process revisions and corrections

  • Obtain parent or guardian approval

  • Deliver printed or digital products

  • Provide access to purchased or subscription-based content

  • Operate the My Hero Books Digital Library

  • Administer the Young Hero Program

  • Administer eligible revenue-sharing programs

7. DIGITAL PROOF APPROVAL PROCESS

Before certain personalized or Young Hero books are sent to final production or publication, families may receive a digital proof for review and approval.

Digital proofs allow parents and families to review matters such as:

  • Artwork

  • Names

  • Spelling

  • Page layout

  • Book information

  • Overall accuracy

Digital proof copies may contain:

  • Watermarks

  • Approval markings

  • Order information

  • Customer identifiers

Digital proof copies are intended for review and approval purposes and should not be reproduced, resold, publicly distributed, or otherwise used outside their intended purpose.

8. ARTIFICIAL INTELLIGENCE AND CREATIVE PRODUCTION SERVICES

My Hero Books may use creative software, illustration technology, artificial intelligence tools, editing software, contractors, printing companies, narration providers, animation providers, or other production services to assist in creating and delivering products.

For example, information or photographs supplied by a parent may be used with creative technology to help create an illustrated representation of a child for a personalized book.

When reasonably possible, we seek to limit information provided to production services to what is reasonably necessary to perform the requested work.

My Hero Books does not intentionally authorize production providers to use children's personal information for their own unrelated advertising or marketing purposes.

Third-party technology and creative-production providers may maintain their own privacy, retention, and data-processing practices. My Hero Books evaluates and uses services according to our business needs and available privacy and security information, but we do not control every aspect of an independent third party's systems.

Families should therefore submit only information and materials reasonably necessary to create the requested product.

My Hero Books will not intentionally provide a child's personal information to a participating organization for that organization's unrelated marketing purposes without appropriate authorization.

E. Third-Party Distribution Partners

If a parent or legal guardian authorizes participation in an eligible distribution opportunity, information reasonably necessary to publish, list, distribute, sell, or administer the book may be provided to authorized retailers, libraries, educational partners, publishing platforms, or distribution providers.

F. Login, Video, and Social Media Providers

If you interact with Google, Apple, YouTube, social media platforms, or other third-party services through our website, those providers may collect or receive information according to their own privacy policies.

Embedded videos and other third-party content may allow those providers to collect device, cookie, or usage information.

G. Legal and Safety Disclosures

We may preserve or disclose information when we reasonably believe it is necessary to:

  • Comply with applicable law

  • Respond to a subpoena, court order, or lawful government request

14. PUBLICATION AND PROMOTIONAL PERMISSION

Purchasing a personalized book does not automatically authorize My Hero Books to use a child's identity for public advertising or marketing.

Separate authorization may be requested before My Hero Books intentionally features an identifiable child, their voice, photograph, or other identifying information in:

  • Public advertisements

  • Social media promotions

  • Website testimonials

  • Promotional book-fair displays

  • Sample products

  • Promotional videos

  • YouTube content

  • Press releases

  • Public promotional campaigns

  • Other public marketing

Books participating in the Young Hero Program may be eligible for additional publishing, book-fair, Digital Library, or promotional opportunities subject to the applicable program terms and parent or guardian permissions.

Promotional permission may be governed by a separate consent or release.

A parent or legal guardian may contact us regarding the scope of previously provided promotional authorization.

Withdrawal of promotional permission generally applies prospectively where reasonably possible.

It may not always be possible to retrieve materials that were already lawfully printed, distributed, published, downloaded, purchased, incorporated into completed media, or shared by others before permission was withdrawn.

15. BOOK FAIRS, EVENTS, AND YOUNG HERO APPEARANCES

My Hero Books may provide optional opportunities for Young Heroes to participate in book fairs, book signings, readings, school events, daycare events, community events, promotional activities, or other approved experiences.

Participation by a child in an in-person or recorded promotional activity may require separate parent or legal guardian authorization.

Depending on the event and authorization provided, information used in connection with an event may include:

  • Young Hero's approved name or display name

  • Book title

  • Book cover

  • Approved biography

  • Photograph or illustrated likeness

  • Event photographs

  • Audio or video recordings

  • Other information authorized by the parent or legal guardian

Participation in these opportunities is optional unless specifically stated otherwise in a separate program agreement.

16. REVENUE-SHARING AND PAYMENT INFORMATION

Young Heroes participating in qualifying My Hero Books programs may be eligible to receive a share of certain book or digital-product sales.

Because Young Heroes may be minors, payment and tax-related information associated with revenue sharing will generally be collected from or managed through the parent, legal guardian, or other legally authorized recipient.

Information used for revenue-sharing administration may include:

  • Parent or legal guardian name

  • Contact information

  • Young Hero and book identification

  • Sales records

  • Revenue-share calculations

  • Payment history

  • Payment account information processed through authorized providers

  • Tax information when legally required

Financial and tax records may be retained as necessary to comply with applicable accounting, tax, fraud-prevention, and legal obligations.

17. CUSTOMER RESPONSIBILITY FOR SUBMITTED MATERIALS

Customers are responsible for the legality, accuracy, and appropriateness of materials they submit.

Do not upload photographs, recordings, or personal information belonging to another child or adult unless you have the legal right and appropriate authorization to provide those materials.

My Hero Books may reject, suspend, or delete submitted materials that we reasonably believe:

  • Violate another person's rights

  • Were submitted without proper authorization

  • Are unlawful

  • Are harmful, abusive, or inappropriate

  • Create a privacy or safety risk

  • Cannot legally or safely be used to provide the requested service

18. DATA MINIMIZATION

My Hero Books seeks to collect information reasonably necessary to provide our products, programs, and services.

Families should avoid submitting personal information that is not necessary for the requested book or experience.

When designing forms and services involving children, My Hero Books seeks to limit requested information to information reasonably related to creating, producing, delivering, supporting, or administering the applicable product or program.

19. DATA RETENTION

We retain personal information for as long as reasonably necessary for the purposes for which it was collected and for legitimate business, legal, accounting, security, dispute-resolution, and recordkeeping purposes.

Our general retention guidelines may include:

Incomplete or abandoned Book Information Forms:
Generally deleted or anonymized within approximately 90 days when no purchase is completed, unless the information is reasonably necessary for customer support, security, fraud prevention, or another lawful purpose.

Child photographs and personalization materials:
Generally retained while an order is active and for a limited period after final delivery when reasonably necessary to support corrections, replacements, reorders, customer service, or an ongoing program.

Where available, parents may contact us to request deletion of eligible original photographs and personalization materials when they are no longer needed to provide the requested service.

Young Hero Program materials:
May be retained while the Young Hero participates in the applicable program and for a reasonable period afterward to administer publication, sales, payments, permissions, customer service, disputes, and legal obligations.

Completed digital products:
May remain available while the customer's purchased access, account, Digital Library participation, or applicable program remains active.

Account information:
Generally retained while an account is active and for a reasonable period afterward.

Orders, payments, invoices, revenue-sharing records, and business records:
May be retained for up to seven years or longer when required by applicable tax, accounting, legal, fraud-prevention, or recordkeeping obligations.

Parental consent, authorization, and release records:
May be retained for as long as reasonably necessary to document authorization and protect the rights of the child, parent, customer, and My Hero Books.

Customer-service communications:
Generally retained for a reasonable period after the matter is resolved and may be retained longer where necessary for legal, security, or business purposes.

Marketing information:
Generally retained until the individual unsubscribes or requests deletion, subject to maintaining limited information necessary to honor the opt-out request.

Website analytics and cookie information:
Retained according to applicable settings and the practices of our website and analytics providers.
